ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Payment of monthly salaries, expenses and all social contributions of all Ireland Employees and Belgian based employees/consultants including management of pension contributions, healthcare and travel insurance.
  • Payment of all Intercompany invoices for ArisGlobal UK Ltd., ArisGlobal GmbH and ArisGlobal BVBA, using online banking.
  • Inland Revenue compliance including management and payment of Employee Tax on Salaries, Corporation tax and VAT.
  • Co-ordination with Clients in terms of sending Invoices, payment follow-ups, Getting signed contracts, etc.
  • Accounts receivable including aged debtors collection and Daily communication about account balances and customer payments to finance Department.
  • Validate Incoming vendor invoices.
  • Handling all queries to/from bank.
  • Contracts Management - Maintaining schedules, Vendor contracts and SOWs.
  • Management of petty cash including handling of foreign currency.
  • Reception duties including transfer of incoming calls to personnel.
  • Entry of SOWs into QuickBasic.
  • Payment of travel expenses.
  • Verification of travel expenses reports and managing concur software.
  • Managing company expenses including identifying possible savings.
  • Coordination/execution/administrative assistance of travel scheduling for employees while upholding company policies and client contracted terms.
  • Assisting with filing, return and electronic file management of executed contracts as needed.
  • Assume and manage responsibilities for all functions of the office and provide assistance on special projects as needed.
  • Assist HR Europe and ensure compliance to NERA requirements.
  • Assist Finance Team in India on the co-ordination of any Finance related work.
  • Co-ordination with Clients/Vendors/Employees/Consultants/Auditors whenever required.
  • Scanning of required documents and mailing to the concerned.

Desired Skills and Experience

REQUIREMENTS: EDUCATION/EXPERIENCE

  • Experience as a receptionist preferably having worked for a European or American organization.
  • An excellent working knowledge of MS Office such as Excel and Outlook skills.
