Job description

We are looking for an Executive Assistant to support our CEO. The successful candidate will be an organized, self-starter with a minimum of 4 years of related executive level support experience working within a fast-paced company. The position requires a resourceful individual who can work autonomously. The candidate must be comfortable working with ambiguity, and able to take initiative while demonstrating excellent follow-through. This position requires a team player with strong interpersonal skills, who is able to manage complex assignments. The idial candidate must be comfortable with multitasking and prioritization in a fast-paced environment.  This position is often privy to confidential information and as such, requires diplomacy and discretion.


Duties Include:

  • Integral in monitoring incoming requests and communication, while exercising initiative and sound judgment to manage and prioritize them.
  • Handle logistics of offsite and onsite Board of Directors and Management Team meetings.
  • Maintain CEO’s calendar and diligently respond to requests for meetings.
  • Plan, researches, and books domestic and international travel for CEO.
  • Coordinate and schedule offsite and onsite client and partner meetings.
  • Answer CEO’s phone and takes messages or transfer calls as needed.
  • Expense report processing and credit card receipt reconciliation for CEO.
  • Monitor, draft, and respond to email correspondence on behalf of the CEO.
  • Help maintain corporate governance documents.
  • Insure partner, contractor, and re-seller NDA agreements and contracts are on file and complete.
  • Work with other members of the Taulia team on a daily basis assuring ongoing projects are successfully executed in a timely manner.
  • Ad-hoc executive support as needed.

Desired Skills and Experience

Requirements:

  • You have been an Executive Assistant at a start-up before, preferably for the CEO.
  • Ability to effectively interact with senior leaders internally and externally (i.e. Board of Directors, and C-level executives from other companies).
  • Proven track record meeting multiple demands and deadlines and adapting to shifting priorities in a fast-paced environment.
  • You are very organized, absolutely detail oriented, have a positive attitude and exhibit initiative, self-motivation and drive.
  • A sense of humor and the ability to work enthusiastically across organizations with diverse personalities is essential.
  • Strong judgment and ability to take initiative is a must.
  • You are articulate with strong communication skills (both verbal and written).
  • You are used to delivering great results on time and being an important part of a fast-paced team.
  • You know how to use our tools: gmail, google docs, MS office suite/ Apple iWork suite.
  • You live in the SF Bay Area and are available to work in the Financial District.
